The opportunity has arisen for an experienced Executive Assistant to provide critical support to a highly regarded Managing Director and contribute to the effective operation of a busy corporate office.
The Opportunity
Working closely with the Managing Director, you will become a trusted business partner, providing high-level executive support while also helping to coordinate the day-to-day operations of the corporate office.
You will act as a central point of contact across the organisation, liaising with executives, board members, employees and external stakeholders. In addition, you will lead a small administration team and play an important role in supporting executive meetings, board activities, internal events and office operations.
This position offers significant variety, exposure to senior leadership and the opportunity to make a genuine impact within a dynamic organisation.
Key Responsibilities
- Provide proactive executive support including complex diary, travel and meeting management
- Act as the primary point of contact for the Managing Director's office
- Prepare, proofread and coordinate presentations, reports and briefing materials
- Coordinate executive, board and committee meetings, including agendas and action tracking
- Manage travel arrangements, events, stakeholder meetings and corporate functions
- Lead and support a small administration team, ensuring effective workload management and collaboration
- Oversee office administration, facilities coordination and vendor relationships
- Manage expense reconciliations and administrative reporting requirements
- Support internal engagement initiatives and company-wide events
- Build strong relationships with internal and external stakeholders while maintaining professionalism and confidentiality
About You
You are an experienced Executive Assistant who thrives in a fast-paced environment and enjoys working closely with senior executives. Highly organised and solutions-focused, you possess exceptional communication skills and the ability to manage competing priorities with discretion and professionalism.
You will bring:
- Demonstrated experience supporting the C‘suite, CEOs, Managing Directors or Boards in a Mining context
- Exceptional organisational and time management skills
- Strong written communication and document preparation capabilities
- Experience coordinating complex travel, events and stakeholder engagements
- Proven ability to build trusted relationships across all levels of an organisation
- Experience leading or mentoring administrative support teams
- Advanced Microsoft Office skills and strong attention to detail
- A proactive, adaptable and highly professional approach
