The Role

This position reports directly to the Regional Vice President and supports other members of the region’s leadership team.  You will provide support of daily administrative operations and special projects, as requested.  Responsibilities may include managing access to and screening calls; managing executive calendars; optimizing complex travel requirements and meetings; customer relations, design and preparation of reports and financial data as well as playing a key role in assisting the development of internal presentations and other communication materials to be used with our senior management.

Furthermore, duties include;
  • Responsible for making and managing contact internally and externally and typically regarding highly sensitive, complex and/or confidential issues.
  • Schedule and coordinate meetings, appointments, conferences, and interviews, including securing locations, coordinating necessary materials/presentation equipment, and arranging food/lunch/refreshments.
  • Coordinate international and domestic travel arrangements
  • Manages expense tracking and submission via our internal systems
  • Administers correspondence, prioritizes emails and mail. Handles visitors with professionalism.
  • Manage all minutes for monthly department meetings
  • Support the events planning and catering for training, trade shows and conferences
The Person
  • You will utlilise your solid senior administrative assistant experience to be successful in this role
  • You are highly organised with high level verbal and written communication skills
  • You have prior experience working well with all levels of internal management and staff, as well as outside clients and vendors
  • You are highly ethical and understand the importance of confidentiality
  • You are skilled at proofreading business documents for grammar, spelling, syntax and format
  • As expected you will be at advanced level in Microsoft Office, PowerPoint, Adobe and have excellent internet research skills
  • Ability to handle work of a confidential nature with minimal supervision
  • Ability to prioritize, manage and meet multiple deadlines that come from different managers
  • Bachelors degree or Associate Diploma will be highly regarded
  • You will ideally have experience preparing presentation materials for professional audiences
